Root Ready Privacy Policy
Effective 2026-09-17
Who we are
Root Ready operates a sod and turf project marketplace that connects customers requesting sod/turf projects with independent supply partners (“Farms”) who quote and fulfill those projects.
Information we collect
When you submit a project request, we collect:
- Contact information you provide (name, phone, email, company if applicable).
- Project and jobsite information (location, grass/turf preferences, quantity, timing, site conditions, access notes).
- Photos you choose to upload of your jobsite, where the intake process allows it.
- If you arrive from an ad or shared link, the campaign/source parameters and ad-click identifiers present in that link's address (for example, values commonly labeled “utm_source,” “utm_campaign,” or an advertising platform's own click identifier). We store these with your submission for our own internal marketing-attribution reporting. If your submission included a Meta (Facebook/ Instagram) ad-click identifier, we also send Meta certain technical values — see “Sharing with advertising platforms” below for exactly what.
Authorized Root Ready personnel who enroll in operational SMS alerts (see below) additionally provide their own mobile phone number for that purpose. If you are a customer, you may separately choose to check a box on the project-request form to receive text messages about your own project (see “Root Ready Customer SMS Program” below) — this is a distinct, optional opt-in, never a required field, and never inferred from providing a phone number alone.
How we use information
We use the information above to evaluate your project, prepare pricing, source and coordinate with a supply partner, and communicate with you about your project.
Photos and metadata
When a photo you upload is in a supported format (JPEG, PNG, or WebP), we remove its embedded camera/location metadata (EXIF, including any GPS coordinates your device recorded) and correct its orientation before storing it. Photos in the HEIC/HEIF format many phones use by default currently cannot be processed this way — rather than store one of those with its metadata still attached, we decline the upload and ask you to convert or re-take the photo in a supported format.
Removing embedded metadata does not alter or remove anything visible in the photo itself — a street sign, house number, license plate, person, or other identifying detail that appears in the actual image remains visible to anyone who views it. Please keep that in mind when choosing what to photograph.
How we share information
Before your order is booked, only the project details a supply partner needs to prepare an accurate quote — grass/turf type, quantity, general location (city and state), and timing — are shared with candidate supply partners. Your name, phone number, email address, exact street address, and other identifying or internal information are not shared with a supply partner before your order is booked.
Once your order is booked, Root Ready staff share the information the fulfilling supply partner needs to deliver and/or install your project, including relevant contact and site-access information.
We also use third-party service providers to operate the platform — for example, hosting/infrastructure, email delivery, and SMS delivery. These providers process information only as needed to provide their service to us and are not authorized to use it for their own marketing purposes.
SMS delivery is used both for authorized Root Ready personnel's internal alerts and, only for customers who separately opt in, the Customer SMS Program described below.
We do not sell your information.
Sharing with advertising platforms
If your project request came from a Meta (Facebook/Instagram) ad — identified by an ad-click identifier present in the link you followed — we send Meta three technical values to help measure that ad's effectiveness: your device's IP address, your browser's user-agent string, and a formatted version of that ad-click identifier. IP addresses and ad-click identifiers can themselves be identifying information — we do not claim otherwise. We do not send your name, phone number, email address, organization name, project address, city, state, ZIP code, project type, square footage, timing, notes, or photos to Meta. If your submission did not include an ad-click identifier, none of this is sent. We retain these three values on our own systems for up to 24 hours, removed the next time our automated cleanup process runs afterward (normally scheduled every 20 minutes) — not held indefinitely, but not deleted at the instant 24 hours elapses either. This is separate from the ad-click identifier itself, which we keep longer, alongside your other campaign-attribution values, as part of your submission record for our own internal reporting — and separate from Meta's own retention of whatever we send it, which we do not control and cannot promise to change or delete on your behalf. You can contact us using the information below to ask that we not send this information for this specific submission, or to have it deleted from our own systems. This applies only to the submission you're contacting us about — a different or future submission, including from the same contact information, is not automatically covered. We cannot retract or delete information already sent to and held by Meta.
Root Ready Operational Alerts by SMS
- Authorized Root Ready personnel may opt in to receive internal transactional and operational SMS alerts about the Root Ready platform (for example, a commercial review needing action, or a booking confirmation).
- These messages are not advertising or promotional marketing.
- Mobile numbers and SMS opt-in information provided for this program are used only to operate this internal alert program.
- Mobile information, including phone numbers, and SMS opt-in consent information are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes.
- Message frequency varies with operational activity — there is no fixed schedule.
- Message and data rates may apply.
- You can opt out of these messages at any time by replying STOP, or by disabling alerts from your Root Ready account settings.
- After opting out, you can resume receiving messages by replying START.
- Reply HELP for help.
- This program is limited to authorized Root Ready personnel who affirmatively enroll through their own account settings; it is separate from, and never combined with, the Customer SMS Program below or any supply-partner communication.
Root Ready Customer SMS Program
- If you are a customer, you may opt in to receive text messages from Root Ready about your own project by checking a box next to the phone number field on the project details form you continue to after starting your request at projects.rootreadysod.com/request. This box starts unchecked and is never pre-selected.
- These messages relate to your own project — for example, a quote or order update, delivery/installation scheduling, or a staff follow-up question — and are not used for unsolicited marketing.
- Mobile numbers and SMS opt-in information provided for this program are used only to communicate with you about your own project.
- Mobile information, including phone numbers, and SMS opt-in consent information are not sold, rented, or shared with third parties or affiliates for marketing or promotional purposes.
- Message frequency varies with your project's activity — there is no fixed schedule.
- Message and data rates may apply.
- You can opt out of these messages at any time by replying STOP; this stops messages to that phone number regardless of which project or Lead record it is associated with.
- After opting out, you can resume receiving messages by replying START. Replying START never re-creates consent on your behalf — it only lifts the STOP block on that number; if you want to receive project updates again, tell Root Ready staff directly.
- Reply HELP for help.
- This program is separate from, and never combined with, Root Ready Operational Alerts (above) or any supply-partner communication.
Data security
We use reasonable administrative and technical safeguards designed to protect information in our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Data retention
We retain project and account information for as long as reasonably necessary to provide the service, maintain business records, and meet legal obligations. We do not currently offer an automated self-service data-deletion tool; to request deletion or correction of your information, contact Root Ready directly using the information below.
Your choices
Authorized Root Ready personnel enrolled in SMS alerts may disable them at any time from their own account settings.
